4/23/07 Finding students with alternate assessments or accommodations

During the recent Saint Paul administrator support group, we discussed how to find students with alternative assessments and accommodations using Custom Reports. The administrators indicated these reports would be useful to many districts. Please find instructions to create these reports below.

How to use Custom Reports to find students with MCA alternate assessments (marked on the Assessments page of the IEP):

1. Navigate to Administration Menu>>Reports.

2. Click “Edit Custom Reports”.

3. Under “Add new custom report by:” select “Selecting tables and fields>>”.

4. Create your report:
  a. Type a name for your report under “Name”.
  b. Under “Data from:” select “Student”.
  c. Next to “JOIN” select “Assessments”.
  d. Click “Select Fields>>”

5. Select the following fields for your report:
  a. student:student_id
  b. student:name_firstname
  c. student:name_lastname
  d. assessments:mcexempt
  e. assessments:mcexemptreason
  f. Type “1” in the order column next to student:lastname (this finds orders the report by last name).
  g. Type “1” in the “Search criteria” column next to mcexempt (this finds all students with the Alternate Assessment checkbox checked on the Assessments page).
  h. Click Save changes

6. To view your report click “View Report”.

For District-wide alternative assessments substitute: assessments:mcexempt and assessments:mcexemptreason with: assessments:DISExempt and assessments:DISExemptReason

For District-wide accommodations substitute: assessments:mcexempt and assessments:mcexemptreason with: assessments:DISAssessWith and assessments:DISAccommodations

For BST alternative assessments substitute: assessments:mcexempt and assessments:mcexemptreason with: assessments:BSExempt and assessments:BSExemptReason

For BST accommodations substitute: assessments:mcexempt and assessments:mcexemptreason with: assessments:BSAssessWith and assessments:BSAccommodations

For TEAE accommodations substitute: assessments:mcexempt and assessments:mcexemptreason with: assessments:LEPAssessWith and assessments:LEPAccommodations
